The type of personal information we collect.

We currently collect and process the following information:

  • Names, postcodes, telephone numbers and email addresses of members.

  • Trustees and those involved in administrating or managing Empowering Voices may also provide addresses.

  • In exceptional cases, we may hold the address for general course participants; this will only be when they don’t have an email address.


How do we get personal information, and why do we have it?

The personal information we process is provided to us directly by you for one of the following reason:

  • Allow you access to Empowering Voices services.


We use the information that you have given us to:

  • To forward course joining instructions.

  • To keep you informed of upcoming events.

  • To be used as the “username” for our website members area.

  • To allow you to participate in the ongoing support network for Empowering Voices.

  • We agree not to share your data unless we have your written agreement or if it is required by law or directed by a court.


Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

Our justification for “legitimate interest” is:

  • Your name, email address and telephone number are used to book and confirm Empowering Voices events.

  • Your postcode is used to understand the geographical spread of Empowering Voices members and ensure that support mechanisms are effectively focused.

  • For Trustees and management team members, your address is used to distribute information and equipment via the postal system.

  • As an exception, members may provide a postal address to facilitate communication without an email address.

 

How we store your personal information

Your information is securely stored.

  • We keep names, telephone numbers, email addresses, and postcodes for seven years. We will then dispose of your information by permanently deleting information from our electronic systems.

  • If you support other members, your details can be added to the Support Group Directory. This directory includes your name and telephone number.

The Support Group Directory is only accessible to other members of Empowering Voices via the members area of the website.

  • Any paper records that hold personal data will be scanned and stored in a protected file or folder, or information will be transferred from paper to a protected document.

  • Paper records that hold personal data will be shredded or incinerated promptly once information has been extracted.

  • Information is held on OneDrive in a password-protected file or folder. Access is limited to a small number of named people.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge to exercise your rights. If you make a request, we have one month to respond.
